What the portal stores
Your name, work email, optional phone number and time zone; what you and Vivid post (messages, files, tasks, tickets, decisions); agreements, invoices and payments for your company; and a log of sign-ins and actions, with the network address they came from.
Why
To run the work between your company and Vivid, keep an accurate record of it, and bill for it.
Who at Vivid can see it
Scott Day. Nobody else at Vivid has access unless Scott assigns them to your company, and your company would be told.
Where it lives
The portal is hosted on Vercel and its database is on Neon, both in the United States. Email is sent through Postmark. DNS is on Cloudflare. Backups are encrypted. Errors are reported to an error-monitoring service with message text removed.
Service providers
We may use service providers, including software and AI tools, to host the service, deliver messages, and help us organize and manage our work for you. Any provider we use is bound to keep your information confidential and may use it only to provide its service to us.
How long
Messages, files and tasks stay until they are deleted or your company asks for its data to be erased. Business records (invoices, agreements, payments, recorded decisions, the audit log) are kept for as long as Vivid must keep them for its books. Data your company's agreement says Vivid must delete is deleted on the date that agreement sets. Backups are kept no longer than your agreement allows.
No tracking
No ads, no tracking, no analytics. The portal sets only the cookies it needs to keep you signed in, so there is no cookie banner.
Your data
Your company's admins can download everything the portal holds about your company at any time, and can ask for it to be erased. Ask Scott about anything here.
